Why plan the week together?
A shared weekly plan answers the questions that otherwise fill the team chat all week: when is the design review, who is on the customer calls, what has to be finished by Thursday. Ten minutes of planning on Monday saves many interruptions later, and it shows early when a day is overloaded.
How to use the template
- Start with fixed events such as meetings, reviews, releases and deadlines. Put each one on its day.
- Add the most important pieces of work for the week, one note each, on the day they should be finished.
- Use colours for kinds of work, for example yellow for meetings and green for focus time.
- Look for crowded days and move what can move.
- On Friday, review what slipped and why. It makes next week's plan more realistic.
Example
The example week starts with sprint planning at 10:00 on Monday, has customer calls on Tuesday, a design review on Wednesday and the release notes on Thursday, and ends with the demo and the retrospective on Friday.
Tips
- Keep personal to-dos in your own list, and only shared commitments on the team plan.
- Leave space. A week planned to the hour falls apart by Tuesday.
- For dates further ahead, use a shared team calendar or a Gantt chart instead.

- Turn any sticky note into an issue, or bring real issues onto the board as live cards.
- Export the board as a PNG or SVG image, or embed it in an issue description.
